POSITION DESCRIPTION:   Bouchercon Administrator (Part-time)

 

 

JOB SUMMARY:

 

The Part-time Bouchercon Administrator supports the financial oversight and management functions of the organization. The Administrator is a contractual position, serves at the pleasure of the Board of Directors, and will report directly to the Chair of Bouchercon, or his/her designee.

 

The Administrator provides bookkeeping, writing, and coordination support to the Board Chair, and Standing Committees. The Administrator coordinates accounts payable and receivables, and safeguards official Board documents, passwords, and records.  As assigned, the Administrator may provide general assistance to upcoming, and current Bouchercon Local Organizing Committees (LOCs).

 

This is a part-time position requiring an average of 11 hours per week, or as directed by the Chair of Bouchercon, or designee. The administrator is expected to attend the Bouchercon Convention. *  Hourly Salary:  Commensurate with experience up to $25/hour.

 

 

 

JOB DUTIES:

 

In coordination with the Board Finance Committee, Treasurer, Board Chair and accounting firm, assists in the processing of accounts receivables and payables.

 

Completes a broad variety of ongoing administrative tasks, under the direction of the Board Chair and Executive Committee, including: maintains organization documents, manages a calendar of Board deadlines, and receives, and prepares Bouchercon correspondence

Co-ordinates Board Meetings and maintains Board member documents.

Updates the Bouchercon national website, as needed.

 

Coordinates with LOC Chair (s) to ensure reports, required by the Bouchercon Bylaws, are prepared and received by the Board Executive Committee in a timely manner.

 

In collaboration with the Bouchercon Manager of Conventions, organizes the annual General Membership meeting according to Bouchercon Bylaws and Rules.

 

Performs any additional duties or responsibilities as assigned from time to time by the Chair of the Board, or his/her designee.

 

 

 

QUALIFICATIONS:

 

Strong Communication Skills: Ability to communicate clearly and effectively with all levels of the organization and membership. Strong writing, editing, and presentation skills.

 

Strong Bookkeeping Skills: Monitor company expenses and track related invoices and payments. Input financial transactions (purchases, expenses, registration and sponsorship revenue, invoices, and payments) into Bill.com or similar platform. Collaborate with external accountants and Bouchercon Finance Committee to generate financial reports, as needed.

 

Computer Skills: Familiarity with accounting software (Quickbooks) and bill paying platforms, and Microsoft Suite programs.  Ability to create professional reports, organization charts, diagrams and graphs. Working knowledge of Zoom (or similar meeting platform) Comfortable with Groups.io, SurveyMonkey, Google Drive, and Constant Contact.

 

Personal Characteristics: An effective self-starter with creative problem-solving skills, strong interpersonal skills, and solid integrity. The ability to multi-task. Supports and promotes the Mission-Vision-Values of Bouchercon and the Code of Conduct.

 

Experience/Planning/Organizing – Familiarity with Bouchercon Conventions, or similar sized conferences, and/or non-profit organizations. 

 

 

            * The Administrator will be reimbursed for approved expenses.
